RESPONSIBILITIES

Office Coordination
* Performing all administrative support needed for the Backyard Tree Planting Program
* Handling all telephone and email communications with clients
* Booking appointments and managing field staff schedules
* Performing data entry and ensuring quality control
* Providing general administrative support to BYTP Manager and field staff
* Training and supervising office volunteers
* Answering all general inquiries
* Making referrals to other services and programs

Executive Assistant
* Providing support to the Executive Director in areas of administration, donations, IT equipment, program
development, board development and fundraising
* Assisting with event planning and implementation as needed
* Assisting with administration of other program areas as needed

Position: Program Manager, Residential Tree Planting

for all BYTP activities
* Managing all field and office operations of the BYTP (Toronto and York Region)
* Researching and implementing improved IT technologies
* Ongoing cost/benefit analysis of program activities
* Hiring, supervising and evaluating staff
* Regular support/guidance for staff
* Providing training and supervision for staff and volunteers
* Office administration when necessary
* Ensuring adequate safety procedures are in place and followed
* Supervising dig locates process
* Creation and implementation of yearly promotional plan
* Content for all educational and promotional materials

Monitoring and Evaluation
* Monitoring and evaluation of program success
* Devising and supervising systems for data collection and research

Community Planting Events
*Coordinating site selection and plant material
*Planning event and securing all materials needed
*Coordinating and training volunteers
*Monitoring and evaluation of plantings
*Coordinating maintenance of sites

* Responding to opportunities for marketing by providing copy, logos, design, etc
* Coordinating design and production of LEAF promotional items

Program Monitoring, Evaluation and Reporting
* Devising systems, collecting, recording and summarizing all information needed for reporting and program evaluation purposes
* Soliciting data from staff as needed for funder reports and annual report
* Recommendations for program improvements

LEAF and Tree Tours Web Sites
* Coordinating and managing regular site maintenance and updates
* Creating systems to ensure timely update information from all staff
* Liaising with web designer
* Facilitating site changes/improvements

Newsletter
* writing, coordinating content, designing, presenting and sending quarterly newsletter

Annual Celebration and Special Events
* All planning and event management
* Creating and coordinating event committee
* Determining theme/activities/speakers/etc
* Securing venue/food/entertainment
* Recruiting staff/board/volunteers to assist with event planning as needed
* Inviting partners and other important guests
* Recognizing partner and volunteer contributions

Media
* Creating and coordinating media plan for the organization
* Writing and sending media releases for all LEAF events and topical issues
* Responding to media requests; coordinating interviews with appropriate staff
* Liaising with media as required

Annual Report
* Securing volunteer designer each year
* Writing content, getting input from staff/board where appropriate
* Facilitating the involvement of the Fundraising and Marketing Committee in report design
* Working with designer through the design process;providing images and other content as needed
* Soliciting printing quotes
* Selecting and working with printer
